Media – Nahro contacted the Big Screen and they will highlight the events
- a steering group member to take part in an interview and phone in
- Raw Talent also to air (Sundays)
- Hull In Print and Hull Talk will have ads in
- Viking Radio – Steve and Nahro to meet but the campaign will run throughout the week.
- Posters will be available on the blog if people want to print off and display
- Press Release sent to Hull Daily Mail, Advertiser etc
- Youth Networks will distribute posters and HYC.

MATTERS ARISING

Humberside Marquee – ordered

Stewards – have to have 4 people who have SIA licence. We have booked them from Prestige Support Ltd as they have experience of restraint and eject techniques.

Andy Jefferson – Steve to check email of confirmation re: generators, marquees and electricity.

Event manual guide- has been submitted and approved.

M.C – still no one, Stewart to contact Alan Raw.

Conference – Publicity done and will go out to local communities and also post on our blog. The costs have grown to £540 which everyone agreed. The artist costs are £250 – again this was agreed.

Opening of event – Councillor Minns cannot be there for 12 noon but will attend later to make a speech.

HPSS – booked and will take responsibility for sound and technical aspects, Stewart to get costs.

Gig costs – approx’ £3000 for artist’s fees at the minute. We need to confirm times with the groups.

We need to place bands/ musicians in the slots in between the sound changes for the next act to come on. We have 4 support acts that can be slotted in. We also need a driver for the Friday to bring musicians from Manchester using the WHCT and it costs £60.

Publicity – posters will be ready next week and we need help with distribution.

If any bands want to create their own publicity they can.
Nahro to contact the Big Screen.

T-shirts – done and are ready for collection

Banners - ?? Are these in the Warren

Printing – 1 or 2 days to turn around, we are having double sided fliers as well as A3 posters.

The Lamp – need numbers for food and styles, will include veggie and halal options. No live music as yet but Stewart has a friend who is a DJ and visual artist. Would cost a train ticket and he would bring music and film equipment.

Sports Day – letters out to teams, still need to sort refreshments, footballs. Will cost £250.

MATTERS ARISING

Humberside Marquees and insurance quotes – Belinda is still waiting for a quote re; marquees. To contact Ladbrokes re; insurance.

Gig – Stewart met with Paul H re; contacting performers and meeting with potential performers. Has also contacted the Kurdish CafĂ© and Lena’s re; food. Congolese musicians are available, Stewart to meet with Albert and Paul re; costings and resources.

Steve is meeting Andy Jefferson (Head of Parks and Gardens) re; QG and Pearson Park. Stewart will also attend.

Stewart has spoken to a community musician who would like to provide a day’s workshop as a tutor. He has all types of instruments and will cost £180. Everyone agreed this was a good idea and Stewart will book him. He will need a marquee and volunteers.

10 Community Wardens have been agreed to attend the Gig from 12-6pm and also 5 for Pearson Park. ALL STEWARDS NEED TO BE CRB CHECKED, so no longer have young people. They can still be volunteers for stage management etc. They are to wear t-shirts – Steve to contact Nahro.

Sound System – HPSS are unavailable but they are checking out other potential engineers. Possibly use the Warren’s music system

Bands – Stewart and Paul H have emailed some African bands, Dilzar, Haku

Compere/ MC – potentially a young person from the Warren

Stage Management – again use the Warren’s team

Workshops – Donna Smith could do a singing workshop – Paddy will contact, Louise Cramond could do belly dancing – Paul H to contact, henna painting – Gvants? Scrapstore – paddy to contact. Story telling – Seiku – Paul will contact.

We need a person to open the event- possibly someone from the Police or the Leader of the City Council, Carl Minns, and Steve to ask.

Small events –The Lamp- we are unable to have the Sunday 17th for our event but can have the Monday 18th. We still need artwork for the exhibition and Stewart will organise some workshops possibly with Artlink. The exhibition can be up for 3 months. Steve still has the ‘Faces of Kabul’ photos so we can use some of them.

On Tuesday 20th June ARKH will have an open afternoon, from 11-3pm; there will be food, music and info for the public to take away. There is also space for stands so if any organisation wants to show case their info, please contact Gloria.

On Thursday 21st there will be a conference called ‘Talking Asylum’ at Hull Community Church, 4-7pm. The cost to hire is £90 and we agreed on this price. There will be food, music, info and stories told are refugees.

The Adelphi idea may possibly be scrapped as we need to concentrate on the Gig the next day but they may do something that we don’t need to attend.

Sports day – on the Sunday 24th – we need to buy fair-trade footballs and trophies.

Do we have Banner Theatre again? The Warren could host it, Steve and Stewart to meet and discuss.

POINTS FROM LAST MEETING

Belinda was bringing a person to be elected as a Chair but as she couldn’t make it, they will be invited to the next meeting.

GIG SUB-GROUP FEEDBACK

Belinda has contacted the Humberside Marquees for quotes and insurance companies. Steve to contact Paul Harper re: his involvement this year. We need to get the acts booked ASAP; the sub group will meet next week.

SMALL EVENTS SUB-GROUP FEEDBACK

Met on Monday and have decided on the following programme:

Sunday 17th June – The Lamp – music, art exhibition, food, information

Tuesday 19th June – ARKH – Open day, awareness, workshops

Wednesday 20th June – The Warren – Film evening

Thursday 21st June – The Warren – conference

Friday 22nd June – Adelphi - event in aid of Refugee Week

Sunday 24th June – Pearson Park – Football tournament

We need to think about bands, Artwork, Films, drama. Dilzar is working on the information and art and is contacting an artist that has been used before. Stuart is checking with the Lamp re; projector and exhibition been left up the rest of the week.




MEDIA SUB-GROUP FEEDBACK

Nahro and Steve met with Viking Radio last week about having a myth busting campaign again. We want to challenge those hard to reach people. An idea is to use children’s voices to provoke people, possibly from B.M.E communities. Can people ignore children’s voices? Viking Radio is bringing back their ideas and Steve will try to gain funding for this from Hull City Council instead of using our core budget. He will report back at the next meeting.

The funding bid has been approved by the Council and we urgently need to produce a Licensing Application to use 28 days before. Please get all of your arrangements to Steve ASAP as these needs to go to the Police and the Council.

OTHER ITEMS

Can everyone think about what resources they need and costings for the small events? Please bring to the next meeting.

The Tenant Participation Team wants to have a stand on the day to raise
awareness of housing in Hull. Trestle tables are available.
